Shifts began and ended by word of mouth, and hours were reconstructed in a spreadsheet after the fact. At any given moment nobody could say who had shown up, who was late, or whether a shift had ever been closed. Stock was a second blind spot: products were taken without a record, so there was nothing to reconcile actual consumption against.
Solution
We built two front doors into one database — a Telegram bot for staff and a web dashboard for the manager. An employee links to the bot with a one-time code and marks the start and end of a shift with a single button; sharing location is optional and never invalidates the check-in. The manager maintains a directory of positions with hours per weekday, assigns a fixed or flexible schedule — a weekly template or a rotating cycle such as 2/2 — and adds exceptions for individual dates. A scheduler checks open shifts every minute, sends reminders, escalates to managers and closes forgotten shifts, with every timing editable in the interface rather than hard-coded.
Outcome
Verbal shift tracking gave way to check-ins that land in the database as they happen: the manager can see who is on shift, who never showed up and which shifts had to be closed by hand. Taking stock is no longer an informal arrangement — each issue carries an employee, a quantity, a unit and, when needed, a photo, and every manager action leaves a trace in the journal.
